How Our Disbursement Solutions Work: Step-by-Step
This streamlined, automated process ensures that disbursements are handled efficiently and accurately, reducing administrative burdens and enhancing financial transparency.
1. PDA Request Registration
The process begins when the vessel owner or charterer requests a Proforma Disbursement Account (PDA). The port agent registers this transaction in our Disbursement Solutions system, initiating the workflow.
2. Acceptance and Tender Nomination
oOnce the owner or charterer accepts the PDA offer by tenderring nomination to the agent for necessary services, the system automatically generates and communicates the invoice to the designated financial institution for credit approval.
3. Credit Approval
The financial institution reviews and approves the credit request, typically within 12 to 48 hours. Upon approval, the port agent becomes eligible to proceed with the vessel operation, ensuring timely and efficient processing.
4. Invoice Generation and Reimbursement
As the final invoices are issued by authorities, agent may upload them in the platform. The financial institution then processes the reimbursements, ensuring that all payments to service providers are handled promptly and accurately.
5. Vessel Operation Completion and FDA Preparation
After the vessel operation is completed and sails out, the port agent prepares the Final Disbursement Account (FDA). This statement is logged in the platform and automatically broadcasted to all including vessel owner/charterer and the financial institution for final settlement.
6. Final Payment Settlement
On the agreed-upon due date of the extended payment terms, the vessel owner or charterer makes the outstanding payment. This final settlement completes the transaction, ensuring all parties are satisfied and maintaining strong, trust-based relationships.
